Volunteer Recognition Program (VOREP) Guidelines FY 2021-2022


2.    CANEX is happy to announce that this year, the CANEX Gives Back Volunteer Recognition Program, formerly known as the Volunteer Recognition Grant, has been modernized and updated. The change to the program was made to improve the administrative process for those who receive the grant, thereby allowing them to dedicate more time to devote to service delivery and to increase our ability to recognize their valuable contribution to the military community. 

3.    Our research shows that most volunteers want to know the impact of their efforts.
Organizations can recognize volunteers by acknowledging their individual contributions. Let your volunteers know the impact they have on your organization’s mission and in the community.

4.    The new grant will be automatically deposited into Base/Wing Funds to help cover the costs of a in-person or virtual celebration organized in collaboration by the local Personnel Support Programs and Military Family Resource Centre Staff.  The expenditures will be captured through the NPP accountability framework and included in the letter of attestation.

5.    Funds will be transferred by CANEX to the local NPF accounting office (in Canada), through the NPF accounting office in Edmonton (USA) or through a transfer voucher (Europe). Original invoices/receipts must be presented to the local accounting office for reimbursement/ payment for all goods and services purchased. Senior Manager PSP will be signing authority on the Grant Account.  However MFRC ED may verify that the expenses are related to the volunteer recognition event.  Funds are not permitted to be directly transferred to the MFRC.  Funds must be spent in the current fiscal year and will be clawed back if not expended.  CANEX and NPP Finance may conduct accounting audits on the grant expense accounts at any time for adherence.

6.    Funding is meant for one event to thank all community volunteers regardless of program area. 

7.    The event will follow the theme and name of the National Volunteer Week.  In future years, it is strongly encouraged to plan events during this celebration or the week of December 5 for International Volunteer Day.  

8.    The National Volunteer Week theme for 2021, The Value of One, The Power of Many, reflects on the awe-inspiring acts of kindness by millions of individuals AND the magic that happens when we work together towards a common purpose. This past year, we have seen people supporting family, friends, neighbours, and strangers, people standing up to systemic racism, and people sharing insights on how to create a more just and equitable society.  We recognize the value of the caring and compassion that each one has shown another, and we recognize the power of people, organizations, and sectors working together.  

9.    To support the event and the common theme, Bases and Wings must download and use the following templates:

a.    Event Poster ;
b.    Event Invitation ;
c.    Event Program Cover ;
d.    Event Program Funding Info ;
e.    Certificate of Volunteer 
Appreciation ;
f.    Event Power Point; 
g.    Thank you Card ;
h.    Event Digital Screen ;
i.    Social Media Assets ;
j.    CAFconnection Assets ; and
k.    Virtual Event Background.

10.    Funding may be used only for the following expenses: 

a.    event marketing
b.    invitations and event programs;
c.    facilities or activity fees; 
d.    food (in person or gift cards for delivery); 
e.    recognition memorabilia;
f.    prizes or gifts;
g.    entertainment; and 
h.    virtual programming platforms.

11.    Where possible, supplies and prizes must be purchased at CANEX or through  If gift cards are given as recognition mementos, they must be CANEX gift cards. 

12.    Event organizers must contact their local CANEX Manager to arrange for a ceremonial cheque presentation. 

13.    Event organizers must acknowledge CANEX as a sponsor of the event(s) by:

a.    Prominently displaying a CANEX banner during the event. Banners are available on loan by contacting your local CANEX Manager; 
b.    Including the CANEX logo on all additional event materials (plaques, tickets, or other print / media material);
c.    Playing a video thank you message from Senior Vice President, CANEX/NATEX; and
d.    By nominating volunteers for the National Profiles and promoting this the program by sharing content from the national social media feeds.

14.    An Event/Activity Report must be submitted within 30 days following the event. Photos must be accompanied by the Authorization and Release form on the for all those pictured. One event organizer on behalf of the Base/Wing must submit the event report electronically at the link below. Failure to submit post-event reports, photos and publicity within the noted timelines, and failure of notification on event changes, could result in a denied application for the subsequent year.
